Conquer Cancer®, the ASCO Foundation has a dynamic opportunity for a high-performing administrative professional to successfully contribute and support the Philanthropy program in the role of Philanthropy Program Administrator.

This position is hybrid, with a primary location in Alexandria, VA. We anticipate the hire to be onsite approximately 2-3 days per week. 

Responsibilities

  • Provides comprehensive administrative support to the Chief Philanthropy Officer including day-to-day operations by performing a broad variety of administrative tasks and projects as required.
  • Proactively manage business calendars, including coordinating all travel arrangements, meetings, and by providing content, follow-up, and logistical support.
  • Coordinate with other administrative team members on scheduling leadership calendars.
  • Provide onsite support to the Philanthropy Team at headquarters including coordinating weekly, biweekly and monthly onsite regular meetings including rooms and coordinating with AV and IT, prepare donor stewardship and acknowledgement mailings for the CPO, Annual Meeting preparation logistics for events and donor meetings,
  • Schedule and coordinate all meetings, provide the participants of the details to include objectives, agendas, and all material to be reviewed in preparation.
  • Administer moves management and action tracking in Conquer Cancer database for the CPO including all meetings, e-mails, tasks and other information.
  • Schedule and manage staff meetings, including creation and distribution of agenda.
  • Complete expense reports, including Corporate Card reconciliation for CPO.
  • Assist in preparation of reports, presentations, and other documents.
  • Manage and maintain confidential and sensitive information.
  • Coordinate executive communications with major donors and volunteers (includes mailings to board members, campaign major donors, transformational giving donors); manage leadership meetings for CPO.
  • Open and sort mail/correspondence for the Philanthropy Division.
  • Special project and work as assigned.

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience
  • 3+ years’ prior relevant work experience in philanthropy
  • Proficiency in Microsoft Office software (Excel, Word, PowerPoint) and Adobe software

Preferred Education and Experience

  • Intermediate database experience
  • Experience supporting leadership levels
  • Executive communications experience

  • Excellent communication skills, including written, with a talent for expressing complex ideas in simple and effective language
  • Excellent interpersonal skills and confidence engaging with people
  • Ability to identify problems and find creative, effective solutions
  • Excellent organizational skills and the ability to assess, prioritize and manage a varied and demanding workload

WORK ENVIRONMENT

HQ based, onsite 2-3 days a week, or as needed.

ADA/Physical Requirements

Extended periods seated or standing at a desk. 

High use of computer and other office technology equipment.

Travel

1-5 days/yr
