Position Overview:

 

The Seedleaf Office and Community Specialist (SOCS) role will act as connective tissue for Seedleaf staff and support the daily functioning of the organization. The candidate in this role will also utilize Seedleaf metrics to communicate with and cultivate supporters and donors of the organization. Time in this role is split between organizational support and supporter/donor cultivation. Under organizational support, the SOCS will support the Executive Director by managing Seedleaf products, bill payments, organizational purchases, receipts, and all other tasks related to general office bookkeeping with the software QuickBooks Online and website management. The specialist will also oversee general office duties such as ordering supplies and filing paperwork. Importantly, the SOCS will work closely with our CPA firm, The Livesay Group, to supply necessary information regarding basic tax and financial forms/statements.

Secondly, the SOCS will use data collected from Seedleaf programming and events to communicate with the public. The SOCS will draft emails and other forms of correspondence addressed to Seedleaf garden users, supporters, donors and potential donors. This includes communication with Perennial Club Members, and Seedleaf News subscribers, as well as individual donors. Most of this work will require familiarity with Seedleaf's current donor software system Bloomerang.

At select times of the year, Seedleaf hosts fundraisers to gather funds for programs. The Specialist will create invites and communications for diverse segments of donors and assist with event planning and decoration. 

Primary Responsibilities

Office Management 

SOCS will provide office management and support Seedleaf garden and farm staff. They are responsible for the following:

  • Monitoring Seedleaf Communication on social media
  • Filing receipts and billing paperwork
  • Mail sorting.
  • Responding to mail donors with thank you letters/cards.
  • Liaising with printers to duplicate promotional Seedleaf material.
  • Monitoring office supplies
  • Assist with the creation of Seedleaf publications. 
  • Monitor and regularly update the Seedleaf website to reflect fall and winter events and general changes in information. 
  • Monitor the Seedleaf shop on the website and keep updated inventories. 
  • Maintain Seedleaf’s video and photo library by uploading the most recent images. 
  • Assist the director with various billing related tasks.

 

Community Engagement

 The selected candidate will work to communicate with the community about Seedleaf’s work and impact and will work with staff to ensure that all data from Seedleaf activities are being recorded and shared publicly.

Responsibilities include: 

  • Assisting with Seedleaf fundraising event logistics.
  • Designing email and website marketing for Seedleaf events.
  • Developing Seedleaf’s donor and contact database, Bloomerang by:
  1. Updating contacts
  2. Developing segmented communications to encourage donor, volunteer and supporter involvement.
  • Boosting membership in Seedleaf’s Perennial Club through targeted communications.
  • Supporting Seedleaf’s Good Giving Challenge (GGC) efforts and monitoring social media for surprise GGC contests. 
  • Aiding board members with their GGC ambassador duties and story telling.
  • developing an annual communications schedule
  • Designing the Seedleaf annual report.

Day to Day expectations 

  • The SOCS is expected to regularly check email and communicate with partners in a timely manner. The SOCS is expected to be proactive in spotting and solving problems within reason as related to the above listed tasks. 

Office commitment 

  • Employee must work from office 3 days/week. The office is located at 714 N. Limestone.

 

This position is full time employment with a 2 month probationary period. The salary range is (35-38,000) and will be determined at the time of employment.

Level of Language Proficiency
