ChopChop Family has a blended revenue model: paid distribution includes individual subscriptions, government-funded nutrition-education programs and sales to schools and after-school programs, while grants and sponsorships help support free distribution of copies through a network of pediatricians and children’s hospitals.  The aim of both grant-funded and paid distribution is to improve food, numeric, and health literacy, especially in children with limited access to resources.

Finance and Operations Manager (FOM) role

We are seeking a highly organized and detail-oriented Finance and Operations Manager to join our team. This part-time role involves managing various accounting functions, overseeing daily financial activities, and supporting operational tasks to ensure the smooth running of the business. The FOM must be committed to ChopChop Family’s mission and have a deep passion for the importance of food and cooking in children’s lives. This role reports directly to ChopChop’s Founder and President and preference is that the applicant be in MA.


Responsibilities

Financial Management:

  • Ensure ongoing and consistent quality of finance and administration systems.
  • Work with Accountant to provide monthly reports and review monthly financials.
  • Monitor bank account activity and manage bank feeds in QBO.
  • Pay bills, invoice orders, and record transactions in QBO.
  • Reconcile all bank accounts, PayPal, and AMEX accounts regularly.


Operational Support and Customer Service:

  • Coordinate with customers and agencies via multiple channels - email, phone and mail.
  • Fulfill and reconcile online orders.
  • Send estimates in QBO.
  • Update shipping, inventory, and sales reports to reflect current data.
  • Maintain organized files and contracts for easy access and reference.
  • Keep the website up-to-date - make minor content updates and add new products.
  • Work with auditors to provide necessary documentation and information.
  • Complete state vendor forms accurately and on time.
  • Assist with ad-hoc projects as needed by the leadership team.


Subscriber and Production Management:

  • Manage and maintain subscriber files, ensuring data accuracy.
  • Oversee print publishing, including creating and managing yearly production schedule
  • Work with the Business Development Director to create the bulk print order, including branded versions of the magazine.


Qualifications

Undergraduate degree, accounting, finance or publishing background is essential.  Concrete demonstrable experience and other qualifications include:

  • Action-oriented, self-directed, entrepreneurial, and adaptable
  • Proven experience in accounting, finance, or publishing 
  • Proficient in QuickBooks Online (QBO) and Microsoft Office Suite, particularly Excel
  • Ideally comfortable with WordPress for minor website updates 
  • Strong attention to detail and excellent organizational and communication skills
  • Ability to manage multiple tasks and meet deadlines

The role is for 30 hours, ideally spread over 5 days a week, though the schedule can be mutually agreed upon. Competitive non-profit salary commensurate with experience; medical and dental coverage; and generous vacation policy.  ChopChop Family is currently fully remote, with on-site partner meetings in MA as needed. Applicants MUST BE IN MA.
