International Arts and Artists (IA&A) is a non-profit arts and cultural diplomacy organization dedicated to promoting cross-cultural understanding and exposure to the arts internationally. IA&A fulfills its mission by providing programs and services to artists, arts institutions, cultural organizations, and the public. IA&A's programs include traveling exhibitions, cultural exchanges, educational workshops, and professional development opportunities.


Position Summary:

IA&A’s Exhibition Project Manager (EPM) works collaboratively with TES colleagues and various external stakeholders to develop future traveling exhibitions. With the Director of Traveling Exhibitions and others, this integral position manages projects from conceptualization to public announcement. In addition, the EPM provides ongoing support to venues by issuing exhibition materials, managing the collection of close-out surveys and press materials, and liaising with collaborators to answer questions throughout the duration of each IA&A exhibition tour.

This position reports directly to the Director of Traveling Exhibitions


Responsibilities:

  • Receive and reply to exhibition proposals, maintain database of proposal files
  • Assist with research and communications for new exhibition development
  • Oversee and manage the project management software, Monday.com
  • Draft and circulate curator and lender contracts
  • Track and compile exhibition project deliverables from lenders/curators
  • Liaise with designers and collaborators to develop exhibition marketing materials
  • Compile exhibition materials for each new IA&A exhibition
  • Maintain communication with lenders regarding exhibition tour updates and programming-related questions throughout exhibition tour period
  • Send exhibition materials (press materials, didactics, etc.) to each venue; maintain exhibition materials calendar
  • Assist in sending out, collecting, and filing close-out surveys following each exhibition presentation; maintain close-out survey calendar
  • Review promotional/press materials for all exhibition presentations
  • Liaise with venues about exhibition material questions/edits and programming questions
  • Secure image copyright clearances for exhibition promotional/educational use as needed
  • Create and send close-out packets to collaborators following each exhibition tour
  • Oversee maintenance and update of exhibition webpages on IA&A’s website
  • Update Salesforce database with exhibition projects in development
  • Fulfill exhibition catalog orders for venues


Qualifications:

  • Possess at least a Bachelor’s degree in a relevant field, Master’s degree preferred.
  • 3 years of professional experience working in a museum setting or equivalent
  • Familiarity with project management practices and software, Monday.com
  • Understanding of museum art exhibitions and how they are organized
  • Understanding of, and familiarity with, museum standards and best practices
  • Strong interpersonal skills, service oriented with ability to balance the needs of our partners with the needs of the organization
  • Ability to work independently and collaboratively and accept direction and supervision relative to assigned task
  • Desire to work in a small, highly entrepreneurial, mission-driven, non-profit organization
  • Ability to speak, read, and write English fluently; additional languages an asset
  • Salesforce experience a plus


Working Conditions: International Arts and Artists is located in the historic DuPont Circle neighborhood in Washington, DC. IA&A staff work a hybrid work schedule, adhering to the Employee Manual. The Museum Curator may be required to work outside of regular hours, including occasional evenings and weekends. IA&A maintains an open office workspace with low to moderate noise. This position can be remote, in-person at our Washington DC office, or hybrid.


Physical Requirements: While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone. Specific vision abilities required include close vision due to computer work.
