JOB TITLE: Operations Director 

EMPLOYER: Catalyst Miami, Inc. 

DEPARTMENT: Operations 

REPORTS TO: CFO 

EFFECTIVE DATE: November 1, 2024

SALARY RANGE: $79,560-$88,740

SUMMARY: Effectively manages the company's HR and Administrative operations in support of established policies, goals, and objectives.

DUTIES AND RESPONSIBILITIES: 

  • Ensures that company operations comply with federal, state, local, funder, and/or company policies and regulations. 
  • Maintain salary scales to standardized ranges and practices across the organization and relative to peer organizations.
  • Weave our core values and mission throughout the HR functions of the organization, including hiring, onboarding, employee evaluation, development, promotion, and recognition for all employees, contractors, and interns. Lead the performance-management process that measures and evaluates progress  against organization goals.  
  • Collaborate with managers to update job descriptions and KPIs across the organization and implement a system for regular review and revision to descriptions, as well as staff deployment/workload balancing. 
  • Manage the hiring process to ensure consistency and communication across departments; Lead on-boarding services and agency orientation; ensure department and/or program level orientations are standardized and effective; Train, coach, and support managers to navigate performance evaluation process, training, promotion, discipline, termination, and other HR issues.
  • Ensures policies, procedures and systems are in place for acquiring goods and services to help improve quality, control costs and reduce risk; manages direct vendor relationships (ex. HR, benefits, IT, landlords) and indirect vendor relationships as needed.
  • Manage the organization's outsourced computer and information technology functions, ensuring policies, procedures and systems are in place for security, compliance, performance and resolving user issues.  
  • Ensures policies, procedures and systems are in place for effective management of leased or owned offices and storage, inventory, and maintenance. 
  • Serve as the organization’s internal contact for employee concerns; uphold organization policies to address employee concerns; and/or elevate to executive attention. 
  • Review current systems (ex. HR, IT, Travel) and explore, and ultimately implement, new systems based on organizational needs.
  • Develop, implement, and monitor operational policies and procedures, and execute strategic and tactical operations plans within the framework established by senior leadership
  • Foster a culture of high performance and continuous improvement, translating these values into actionable plans and managing employee performance and development programs.
  • Performs other related duties as assigned by management.  

SUPERVISORY RESPONSIBILITIES: 

  • Directly supervises 1 employee within the Operations department(s).  
  • Carries out supervisory responsibilities in accordance with the Catalyst Miami's policies  and applicable laws.  
  • Responsibilities include interviewing, hiring, onboarding / training employees; planning,  assigning, and directing work; appraising performance; rewarding and disciplining  employees; addressing complaints and resolving problems

QUALIFICATIONS: 

  • Language: Professional working proficiency in oral and written English
  • Education:  Bachelor Degree or equivalent experience
  • Years of experience: 2
  • Computer skills required: Microsoft Office Suite and working knowledge of web-based  platforms.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

  • Ability to lift up to 25 pounds
  • Ability to work in a shared-workspace environment
  • Stretch and bend to organize and distribute materials for Catalyst Miami activities
  • Able to sit at desk for long periods of time and utilize computer for extended periods
  • Must be able to work flexible hours to accommodate organization needs, including evenings and weekends. Out of town travel may be required.
